These terms govern your use of the EasyRoad platform. Please read them carefully — they set out what EasyRoad does and doesn't do, and limit our liability if something goes wrong.
1. Acceptance of terms
By creating an account or otherwise using EasyRoad, you accept these Terms of Use. If you don't agree to them, don't use the platform.
2. Description of service
EasyRoad is a compliance-tracking, inspection-logging, and messaging platform for New Zealand vehicle fleets. To be clear about what that means, EasyRoad is not:
- An NZTA-approved electronic logbook, or a substitute for one.
- A service that purchases, holds, or manages RUC licences on your behalf.
- A service that obtains, verifies, or guarantees the validity of passenger service licences, P endorsements, CoF, WOF, or any other regulatory status — the platform only records information you supply.
- A guarantee of legal compliance with NZTA, the Health and Safety at Work Act, or any other regulatory regime. You remain solely responsible for your own compliance.
- A health and safety management system, or a substitute for professional health and safety advice.
3. Accounts and eligibility
Accounts may be created by business owners operating New Zealand vehicle fleets. You're responsible for the accuracy of the information you provide, for keeping your account credentials secure, and for not sharing logins between drivers.
EasyRoad is a business tool and is not offered to consumers. By creating an account, you confirm that you're doing so on behalf of a business and for business purposes — not for personal, domestic, or household use.
4. Subscription, billing, and cancellation
Pricing depends on your plan — see our pricing FAQs for current tiers, which may change from time to time. Charges are billed on the cycle and payment method you select at sign-up. If a payment fails, we'll attempt to notify you and may suspend access until it's resolved.
New accounts start with a 14-day free trial — no payment is taken during the trial. If you don't want to continue, simply don't add a payment method and the trial will end without any charge.
There's no lock-in contract — you can cancel at any time. Cancelling stops future billing only; it doesn't refund the period you're currently in, and access continues until the end of your current billing period. Data retention after cancellation is described in our Privacy Policy.
Once a billing period has been charged, that charge is non-refundable. At EasyRoad's discretion, we may provide a pro-rated credit or refund where there's been a significant failure of the service on our side.
5. Acceptable use
You agree not to:
- Enter false compliance data.
- Use the platform to circumvent your legal obligations rather than track them.
- Upload unlawful or harmful content via messages or photos.
- Attempt to access another company's data.
- Reverse-engineer or resell the platform.
6. Customer data and ownership
You own the data you enter — vehicles, inspections, messages. EasyRoad's role is to store and process it on your behalf. On cancellation, you can export your data, and we'll retain it per our Privacy Policy before deletion. This matters in particular for the light-commercial tier, where inspection history may need to be kept as evidence well beyond your subscription period.
7. Service availability
We make reasonable efforts to keep EasyRoad available, but we don't guarantee uninterrupted service. We'll give notice of scheduled maintenance where practical, and we're not liable for outages caused by circumstances beyond our reasonable control.
8. Disclaimers and limitation of liability
EasyRoad is provided "as is," without warranty that it will prevent fines, vehicle grounding, or any other regulatory consequence.
To the extent permitted by law, EasyRoad's total liability to you for any claim arising out of or in connection with these terms or your use of the platform is capped at the total fees you paid EasyRoad in the 12 months immediately preceding the event giving rise to the claim.
To the maximum extent permitted by law, EasyRoad excludes liability for indirect or consequential damages.
EasyRoad is supplied for business purposes only, as set out in Accounts and eligibility above. Under section 43(2) of the Consumer Guarantees Act 1993, the guarantees in that Act do not apply where the services are acquired for the purposes of a business, and every subscriber to EasyRoad is taken to be acquiring the service on that basis. Accordingly, the disclaimers and limitations in this section apply in full.
9. Indemnity
You agree to indemnify EasyRoad against any claim, loss, or expense arising from your misuse of the platform or your breach of your own legal or regulatory obligations, including obligations relating to vehicle roadworthiness, driver licensing, or health and safety.
10. Termination
We may suspend or terminate your account for non-payment or breach of the acceptable use terms above. Data handling on termination follows the same process described under Customer data and ownership, above.
11. Changes to these terms
We may update these terms from time to time. We'll post changes on this page with an updated "last modified" date above, and notify customers of material changes directly.
12. Governing law and disputes
These terms are governed by the laws of New Zealand, and the courts of New Zealand have exclusive jurisdiction over any dispute arising from them.
