1. Why use easyroad?
Why do I need this if I already track dates in a spreadsheet?
A spreadsheet doesn't remind you before a CoF, WOF, rego, or RUC licence lapses, doesn't stop a truck leaving the yard without a same-day inspection, and doesn't give you a single place to see your whole fleet's status at a glance. EasyRoad does all three automatically, so nothing slips through because someone forgot to check a tab.
What's the actual cost of getting this wrong?
An expired CoF or RUC licence can mean fines, a grounded vehicle, or an insurance claim being declined — all of which cost far more than the subscription. EasyRoad exists to make that risk visible weeks in advance, not the day it becomes a problem.
Is this replacing my logbook or RUC purchasing?
No. EasyRoad tracks the dates and statuses you're already responsible for — it doesn't replace your NZTA-certified electronic logbook, and it doesn't purchase RUC on your behalf. It's the reminder and visibility layer sitting alongside those, not instead of them.
Who is this actually for?
Owners and operators of small-to-medium NZ fleets — 1 to 15 vehicles — across trucking, passenger transport (shuttles, buses, tour operators), and trades businesses running vans and utes. If you're responsible for keeping vehicles legal and drivers accountable, this is built for you.
2. Compliance & legal basics
What compliance dates does easyroad track?
Depends on your vehicle type: CoF, WOF, registration, and RUC licence for goods vehicles; CoF, registration, TSL renewal, and certificate of loading for passenger vehicles; WOF, registration, and RUC (if applicable) for light commercial vans/utes.
Does easyroad track driver licensing too, not just vehicles?
Yes — for passenger operations specifically, a driver's P endorsement is tracked separately from vehicle compliance, since a lapsed endorsement grounds that driver regardless of which vehicle they're assigned to.
Does RUC apply to my electric vehicle?
Yes — light EVs are RUC-liable at the same rate as diesel, and heavy electric trucks join RUC from 1 July 2027. EasyRoad tracks RUC by powertrain, so this is handled the same way as a diesel vehicle, not treated as an exemption.
Does my van/ute need a daily inspection like a truck does?
No — daily walk-around inspections are an NZTA expectation specifically for heavy vehicles and passenger service vehicles, not standard light commercial vehicles. For trades vehicles, EasyRoad's pre-use check exists for a different reason — see the Light Commercial section below.
Does using easyroad guarantee I'm legally compliant?
No software can guarantee that — legal responsibility for roadworthiness and licensing always sits with the operator. EasyRoad reduces the risk of something slipping through by surfacing it early; it isn't a substitute for confirming your status directly with NZTA when it matters.
3. How it works
What does a driver actually have to do each day?
Open the app, confirm today's vehicle, tick through a short checklist (tyres, brakes, lights, fluid leaks, and more depending on vehicle type), flag anything that failed with a note or photo, and submit. Built to take under a minute.
What does the owner see?
One dashboard: a colour-coded compliance calendar across the whole fleet, who has/hasn't submitted today's check, any flagged defects waiting on action, and a message thread with every driver.
How do the owner and driver communicate?
Built-in messaging — one-to-one threads per driver, plus a broadcast option for fleet-wide announcements (e.g. "no driving tomorrow, storm warning"). No separate app or group chat needed.
What happens when a driver flags a defect?
The owner gets notified immediately, with the driver's note and photo attached, and it stays in the defect inbox until marked resolved — so it can't get quietly forgotten.
Do I need GPS or hardware installed in my vehicles?
No. EasyRoad is intentionally hardware-free — no telematics box, no installation, no ongoing hardware subscription on top of the software.
4. Vehicle types supported
Does easyroad handle mixed fleets — trucks and vans and a shuttle together?
Yes — each vehicle has its own category (goods, small passenger, large passenger, or light commercial), and the compliance items and daily checklist automatically adjust to match.
What counts as a "small passenger" vs "large passenger" vehicle?
Small passenger covers up to 12 people including the driver (minivans, shuttles, taxis); large passenger is anything over that (buses).
Does easyroad support electric and hybrid vehicles?
Yes — vehicle records track powertrain (diesel, petrol, hybrid, plug-in hybrid, electric), which affects RUC tracking, and the daily check includes a simple charge-level log for EVs/hybrids so owners can see fleet charge readiness at a glance.
What if my rego plate changes?
Vehicles are identified by VIN, not plate — plates are tracked with a full history. Recording a plate change takes one action and keeps every past inspection and compliance record correctly linked to the vehicle.
5. Light commercial / trades businesses
I run a plumbing/building business — is this relevant to me even though my vans don't need a CoF?
Yes, for a different reason. Under the Health and Safety at Work Act, a vehicle used for work is legally treated as a workplace, and your business has an ongoing duty to manage driving-related risk. A documented pre-use vehicle check gives you a timestamped record that helps demonstrate you took reasonable steps — useful if an incident is ever investigated or an insurance claim is questioned.
Is this a legal requirement for my vans?
No — there's no NZTA-mandated daily inspection for light commercial vehicles. This tier is about building a safety record, not meeting a certification requirement.
Does this replace proper health and safety advice?
No. EasyRoad helps you keep a record; it isn't a health and safety management system and isn't a substitute for advice from a qualified health and safety professional if you have specific obligations to work through.
6. Pricing & plans
How is pricing structured?
By fleet size, not by feature — every plan includes the full dashboard, messaging, and notifications. Owner-operator plans start around $25–35/month; small fleets (2–5 vehicles) around $60–90/month; light commercial plans are priced lower, from around $15/month for a single vehicle.
Do I pay per vehicle or a flat fee?
Flat tiers based on fleet size band, so adding a vehicle within your current tier doesn't change your bill.
Is there a free trial?
Yes — every new account starts with a 14-day free trial and no payment is taken during that period. If you decide not to continue, just don't add a payment method and the trial ends with nothing charged.
7. Getting started
How long does setup take?
Add your vehicles (by VIN), invite your drivers, and you're ready — most owners can be set up in under 15 minutes.
Do drivers need to install anything?
No app store install required — it runs in any phone browser, with the option to add it to the home screen for one-tap access.
What if I want to cancel?
There's no lock-in contract — cancel anytime from your account. Cancelling stops future billing only: the current billing period you've already paid for isn't refunded, but you keep access until it ends. See our Terms of Use for the full policy.
